This Privacy Policy applies to all users of the FutureTrack platform operated by Future 2000 Technologies Inc, including administrators and employees of organisations that use the Service. By using the Service, you acknowledge that you have read and understood this policy.

2. Information We Collect

We collect the following categories of information through the FutureTrack platform:

  • Identity data: Employee name, employee ID, and department assignment
  • Authentication data: Hashed PIN codes (PINs are never stored in plain text)
  • Attendance data: Clock-in and clock-out timestamps, shift durations, and attendance event records
  • Payroll data: Hourly rate (if configured), regular and overtime hours, and gross pay estimates
  • Account data: Administrator account credentials (passwords are stored using industry-standard bcrypt hashing)
  • Usage data: Session activity necessary for platform security and session management

We do not collect financial account numbers, government identification numbers, or sensitive personal characteristics.

3. How We Use Your Information

Information collected through the platform is used for the following purposes:

  • Authenticating users and maintaining secure sessions
  • Recording and displaying accurate attendance data
  • Generating payroll reports and workforce analytics for authorised administrators
  • Enabling CSV and PDF export of attendance and payroll records
  • Maintaining platform security, detecting abuse, and preventing unauthorised access
  • Complying with legal obligations applicable to the employing organisation

We do not use your data for advertising, profiling, or any purpose unrelated to the operation of the workforce management platform.

4. Data Sharing and Disclosure

We do not sell, trade, or rent your personal information to third parties. Your data may be disclosed in the following limited circumstances:

  • Within your organisation: Authorised administrators of your employing organisation can access attendance and payroll data for their workforce
  • Service providers: We use third-party infrastructure (hosting, database services) under strict confidentiality agreements to operate the platform
  • Legal requirements: We may disclose information where required by law, court order, or valid governmental request
  • Business transfers: In the event of a merger, acquisition, or asset sale, user data may be transferred as part of that transaction

5. Data Security

We implement industry-standard security measures to protect your data:

  • All data in transit is encrypted using HTTPS/TLS
  • Passwords and PINs are hashed using bcrypt and never stored in plain text
  • Session tokens are managed securely and stored server-side in the database
  • Administrative access requires authenticated sessions with rate limiting
  • Server infrastructure is maintained with regular security updates

While we take all reasonable precautions, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security of your data.

6. Data Retention

Attendance and payroll records are retained for as long as required to fulfil the operational and legal obligations of the employing organisation. Organisations are responsible for defining and enforcing their own data retention policies in compliance with applicable employment and payroll regulations.

Session data is automatically cleared upon logout or session expiry.

7. Your Rights

Depending on applicable law, you may have the following rights regarding your personal data:

  • Access: Request a copy of the personal data held about you
  • Correction: Request correction of inaccurate or incomplete data
  • Deletion: Request deletion of your data where no longer required (subject to legal retention obligations)
  • Objection: Object to processing of your data in certain circumstances
  • Portability: Request your data in a structured, machine-readable format

8. Cookies and Local Storage

The FutureTrack platform uses the following browser storage mechanisms:

  • Session cookies: Required for maintaining authenticated sessions. These are essential for platform functionality and cannot be disabled.
  • localStorage: Used to store UI preferences such as payroll filter settings and app installation dismissal state. No personal data is stored in localStorage.
  • Service Worker cache: Used to support offline functionality as a Progressive Web App. Only platform assets (HTML, CSS, JS) are cached; no personal or attendance data is cached in the browser.

We do not use analytics cookies, advertising cookies, or any third-party tracking technologies.

9. Children's Privacy

The FutureTrack platform is intended for use by adults in a professional employment context. We do not knowingly collect personal information from individuals under the age of 16. If you believe a minor's data has been collected, please contact us immediately.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated revision date. We encourage you to review this policy periodically. Continued use of the Service following any changes constitutes your acceptance of the revised policy.
